Organization Setting and Reporting Line

This position is located in the Operations Unit of the Joint Logistics Operations Center (JLOC) of the United Nations Stabilization Mission in Haiti (MINUSTAH.  The Logistics Assistant at this level reports to the Administrative or Logistics Officer as the First Reporting Officer (FRO) and the Chief Operations Unit as Second Reporting Officer (SRO). 

 

Responsibilities:

Within delegated authority, the Logistics Assistant at this level will be responsible for the following duties:

(These duties are generic and may not be performed by all Senior Logistics Assistants.) 

 

  • Provides logistics support to ongoing field operations to all categories of UN personnel (civilian, military, formed police units and United Nations Police);
  • Assists the Head of the Unit in identifying and mobilizing resources in support of the implementation of Mission project work;
  • Monitors logistics movements and material distribution to the area of responsibility and reports on delivery in accordance with requirements.
  • Liaises with the Regional Hubs on logistic matters, such as transportation, communications, air movements and procurements.
  • Provides support to ISS staff in their delivery of services through follow up actions with the Regional Hub on critical requirements with implication for Sub-office operations;
  • Ensures that accurate and complete accounting, reporting and internal control systems are functioning and that all relevant records are maintained.
  • Assists in the implementation of the Quick Impact Project (QIPs) by facilitating engineering technical advice to the QIPs Approval Committee on project proposals that are engineering-related.
  • Monitors and reports on emergency commodities and disaster preparedness and provides updates on stock levels, shelf life and replenishment.
  • Initiates requisitions for the replenishment of supply items in support of civilian personnel and UNPOL.
  • Acts as primary focal point for the production of sub-office report on general supply operations
  • Undertakes action related to the administration of human resource activities. (e.g. attendance monitoring, performance appraisal)
  • Assists the Unit in providing information on staffing for inclusion in Section staffing database.
  • Manages imprest fund/petty cash in support of office business processes and provides resources for office work programmes.
  • Reports on imprest fund/petty cash expenditures on a regular basis as necessary and keeps all supporting documents/records of transactions.
  • Ensures full compliance with the financial rules and regulations regarding the management of imprest fund/petty cash

 

 

The work requires extensive interaction with JLOC clients and stakeholders and it will be based in an integrated setting composed of civilian, military, police logistics officers, United Nations Police, UN agencies and National Contractors.

Education: - High School diploma is required. An associate degree or first degree in administration, logistics, supply chain management, engineering or other related fields will serve as an added advantage. Proficiency in Microsoft Word, Excel and PowerPoint is required.

Work Experience: - A minimum of seven (7) years of work experience in logistics, supply management, contracts administration, engineering or related area is required.

Languages:  - English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in oral and written French and English are required. Knowledge of another official United Nations language is an advantage.

Other: - A valid driver’s license is required.
